If your email Inbox is out of control, you might want to rethink your methods for organizing your email and emptying your Inbox. Developing a new approach to processing your Inbox can help you to gain more control, improve your response time, and keep up with critical actions and due dates.

This article covers four key factors that can help you process your email more efficiently—both at home and at the office. Although some of the productivity tools mentioned here are specific to Microsoft Outlook (Outlook 2010, Outlook 2007, and Outlook Web Access), most of the techniques—and even the organizational attitude described here—can help you to more efficiently process email and empty your Inbox, even if you use an email application other than Outlook.

 

1. Set up a simple and effective email reference system

The first step toward an organized Inbox is understanding the difference between reference information and action information.

·         Reference information is information that is not required to complete an action; it is information that you keep in case you need it later. Reference information is stored in your reference system—an email reference folder, your My Documents folder, or a company intranet site, for example.

·         Action information is information you must have to complete an action. Action information is stored with the action, either on your to-do list or on your Calendar. (If the action needed is a detailed reply, try converting information into professional communication using these tips on creating incredible documents more easily using Office 2010.

Most people receive a considerable amount of reference information through email. Sometimes as much as one-third of your email is reference information. So it is essential to have a system that makes it easy to transfer messages from your Inbox into your email reference system—a series of email file folders where you store reference information to ensure you have easy access to it later. After you take care of filing your reference information, you can use the next three steps to handle the email that you have to do something with—your action information.

1. Remove spyware, and help protect your computer from viruses

Spyware collects personal information without letting you know and without asking for permission. From the websites you visit to user names and passwords, spyware can put you and your confidential information at risk. In addition to privacy concerns, spyware can hamper your computer's performance. To combat spyware, you might want to consider using the PC safety scan from Windows Live OneCare. This scan is a free service that helps check for and remove viruses.

Download Microsoft Security Essentials for free to help guard your system in the future from viruses, spyware, adware, and other malicious software (also known as malware). Microsoft Security Essentials acts as a spyware removal tool and includes automatic updates to help keep your system protected from emerging threats.

The Microsoft Windows Malicious Software Removal Tool is another utility that checks computers running Windows 7, Windows Vista, Windows XP, Windows 2000, and Windows Server 2003 for infections by specific, prevalent malicious software, including Blaster, Sasser, and Mydoom, and helps remove any infection found.

How to Organize Your Computer to Find Information Faster

 

 

 

An unorganized computer makes it more difficult to find information and a computer that is cluttered with unnecessary files and email messages can be sluggish. So if you haven’t organized your computer recently and it’s running slower than you’d like (or you’re having trouble finding things), the tips in this article can help you delete or move old files and email and can even help you do a thorough cleanup.

Clear out your old, unnecessary files

So how long should you keep old files on your hard drive? If you haven't used a particular file for several months, you can probably delete it or store it somewhere else.

How can you tell how old a file is? In the folder where the file is stored, rest your mouse pointer over the file name to see when it was last modified. For more information, right-click the file name and choose Properties. You can see when the file was created, last modified, and most recently accessed. If a file is old and hasn't been accessed in more than six months, it might be time to clear it out. If you’re not certain, it’s a good idea to open it just to be sure you won’t need it soon.

NEWS:  Zuckerberg: Facebook Phones are Coming

 

 

 

Mark Zuckerberg's been saying it all along:  There is no Facebook phone.

Zuckerberg, Facebook's founder and chief executive, clarified the Facebook phone strategy in a recorded video statement, presented during HTC's press conference at the Mobile World Congress in Barcelona.

"A lot's been made about a single Facebook phone," he said, "but this year you can expect to see dozens of phones with much deeper social integration than anything we've seen so far."

HTC's phones are still Android-based, with the same Sense user interface that appears in handsets like the Droid Incredible and Evo 4G. They just go a little further with Facebook integration thanks to that dedicated button. Pressing it can take you instantly to the social network, or depending on context, may execute specific actions such as sharing a photo or song. The ChaCha and Salsa also pull in status updates and recent photos when calling a friend, and remind users of upcoming birthdays.

British phone maker INQ, which is owned by HTC, is also making a Facebook-integrated phone called the Cloud Touch. This phone is Android-based, but the entire interface is designed around Facebook features, such as events, notification and Places. The INQ Cloud Touch is hitting the United Kingdom in April and the United States in the fall.

Although none of these products are Facebook-branded phones, per se, the association seems strong enough that Facebook may not need its own operating system or branded handset. Instead, the social network can gradually take over functions of existing platforms -- such as contacts, calendars, messages and location-based check-ins -- so that other features become superfluous. It's more a transition to the idea of a Facebook phone than a single product, and that transition is happening now.
